Privacy is the whole point.
Most meeting tools keep your meetings on their servers. Ghosty Notes keeps them on your Mac. With the built-in models your audio is never uploaded, and free mode never sends your meetings anywhere.
Your audio stays on your Mac
Recording and transcription happen on your Mac with a local Parakeet model. With the built-in models the audio is never uploaded. Pro also offers cloud transcription services you can pick instead. That is your choice to make, and it sends your audio to the company you pick.
Free mode never sends your meetings anywhere
Local transcription plus a local model. Your audio, transcript and notes stay on your Mac, so there is nothing to leak, subpoena, or breach. The app itself makes two background connections: it checks for a new version, and it counts anonymous usage, which you can switch off in Settings. Neither one carries any part of your meeting.
Your notes are files you own
Every meeting is plain markdown in a folder you choose. No lock-in, no cloud account holding your history hostage.

You can check it yourself.
You do not have to take our word for where your meetings go. Every note is a plain markdown file in a folder you chose, so you can open it in Finder. Your security team can watch the app's network traffic on your own machine and see for themselves what it sends, which is the check that actually settles the question.
Working where the cloud is not allowed
Because your meetings stay on your machine with the built-in models, Ghosty Notes fits workflows where cloud meeting tools are simply off the table. We do not make legal compliance claims for you - your obligations depend on your jurisdiction and your counsel, and you are responsible for getting consent to record where it is required. What we give you is a tool where you can check for yourself that your meeting never left the Mac.

How Ghosty Notes handles your data

1. Who controls your data
Ghosty Notes is a product of GrowthX Group, LLC, a Wyoming limited liability company. GrowthX Group, LLC is the controller of personal data processed through the Ghosty Notes website and Pro services. You can contact us at hello@ghostynotes.app.
2. The app
In free local use, recording, transcription, summaries, notes, and meeting search run on your Mac. We do not receive your meeting audio. Your notes and transcripts are stored locally as files and app data that you control.
When you choose a hosted AI model in Pro, the text needed for your request may be sent to that model provider to generate a summary or answer. Meeting audio is not sent. We do not use meeting content to train AI models.
3. Calendar data we access
If you connect Google Calendar or Microsoft Outlook, Ghosty Notes receives read-only access to the calendars and events you choose. The data may include calendar names, event titles, start and end times, all-day status, locations, event descriptions, meeting links, recurrence information, organizer details, and attendee names and email addresses.
We use this data only to show your schedule, identify which meeting you are in, name and organize notes, attach a note to the correct event, and show who was invited. Ghosty Notes does not create, edit, or delete events in your connected calendar.
4. Calendar storage and deletion
Nango handles calendar authorization for us and stores your encrypted OAuth credentials while the connection is active. We store the connection identifier and status in Supabase. Calendar requests pass through our service and Nango to your calendar provider. Synced event data is stored locally in the Ghosty Notes app database on your Mac.
Disconnecting a calendar account deletes the OAuth connection from Nango and our connection record from Supabase. On the next local refresh, Ghosty Notes removes the disconnected calendar and its cached events from the app database. Calendar details already incorporated into an existing meeting note remain in that local note until you edit or delete it.
5. Google API Limited Use
Ghosty Notes' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
6. Website, accounts, and payments
If you request a download or product update, we store the email address you provide through Encharge, our email and analytics provider, and GoHighLevel, our CRM. You can unsubscribe at any time. Encharge analytics loads only after you accept the website consent banner. We do not use advertising networks or sell your information.
Paddle.com is the Merchant of Record for all our orders and processes paid subscriptions. We receive subscription status and billing records but do not receive or store your card details.
7. Service providers
We use Encharge for email and consent-based website analytics, GoHighLevel for CRM, Paddle as merchant of record for payments, Supabase for account and subscription records, and Nango for encrypted calendar credentials and calendar API access. If you enable a hosted AI model, the selected model provider processes the text needed for your request. Google or Microsoft processes calendar data under the account connection you authorize.
8. Retention and your choices
Local meeting files remain on your Mac until you delete them. Calendar credentials and connection records remain until you disconnect the account. We retain account, subscription, and transaction records only while needed to provide the service and meet legal, tax, security, and accounting obligations. Marketing email data remains until you unsubscribe or ask us to delete it.
You may ask to access, correct, or delete personal data we control by emailing hello@ghostynotes.app. You control local notes and transcripts directly by editing or deleting the files on your Mac.
9. Changes
We will update this policy when our practices change and revise the date above. If a material change affects how we use connected Google data, we will notify affected users and request consent where required before using the data in the new way.
